This Refund Policy outlines the terms and conditions under which refunds are processed for travel services booked through Onyx Vacations, LLC.

1. Refund Policy Overview
Onyx Vacations, LLC acts as an agent for various third-party travel suppliers (e.g., airlines, hotels, tour operators, cruise lines). As such, all refunds are subject to the specific terms, conditions, and cancellation policies of the individual supplier governing the portion of the travel service being cancelled.
Our role is to facilitate the cancellation process with the supplier and to ensure any refundable amounts are returned to you according to this policy.
2. General Refund Conditions

Supplier Policies Govern: The eligibility for a refund, the refund amount, and the timeline for receiving funds are determined solely by the policies of the relevant third-party travel supplier.

Non-Refundable Items: Many services, especially deeply discounted airfares, promotional hotel rooms, and insurance premiums, are non-refundable by the supplier. You will be informed of non-refundable components at the time of booking.

Onyx Vacations, LLC Service Fees: Any service or consultation fees charged directly by Onyx Vacations, LLC (for planning, booking, or cancellation processing) are non-refundable once the service has been rendered.
3. Initiation of Cancellation and Refund Process
All cancellation requests must be made by the lead traveler in writing (via email) to your dedicated Onyx Vacations, LLC agent.

Request Submission: Upon receiving your written request, we will immediately initiate the cancellation process with the relevant suppliers.

Confirmation: We will provide you with written confirmation detailing the supplier's cancellation terms, including any applicable cancellation fees or penalties, and the estimated refund amount.

Supplier Processing: The supplier will process the cancellation and refund amount according to their own timeframe, which can vary significantly (often 4 to 12 weeks).

Final Refund: Once the funds are received from the supplier, Onyx Vacations, LLC will process the refund back to the original form of payment used for the booking, minus any applicable cancellation fees or non-refundable charges.
4. Supplier Cancellation Fees and Penalties

Standard Penalties: Suppliers often impose cancellation penalties that increase as the travel date approaches. Penalties can range from a nominal fee to 100% of the booking cost.

No-Show Policy: If you fail to check in for a flight, hotel, or activity (a "no-show"), the entire amount of that booking segment is typically non-refundable, and no credit will be issued.
5. Onyx Vacations, LLC Cancellation Service Fees
In addition to any penalties levied by the travel suppliers, Onyx Vacations, LLC reserves the right to charge a cancellation processing fee for handling the complex cancellation of multi-component itineraries.
Note: These fees are non-refundable and will be deducted from any refund amount received from the supplier.
6. Travel Insurance
We strongly recommend purchasing travel insurance to protect against financial loss due to unforeseen cancellations, delays, or medical emergencies. If you have travel insurance, your claim for lost non-refundable amounts must be made directly to the insurance provider.
7. Force Majeure and Circumstances Beyond Our Control
Onyx Vacations, LLC is not responsible for cancellations or changes to travel arrangements caused by events of force majeure (e.g., natural disasters, pandemics, war, terrorism, government actions, or airline insolvency). Refunds in these situations will strictly adhere to the policies of the specific suppliers and any applicable governmental regulations.
